7 Billing Tips for Kirana Store Owners
Practical tips to bill faster, track udhaar, control stock and close each day with a clean cash tally.

A kirana store runs on speed and trust. Customers want a quick bill, and you need to know where every rupee and every packet went. These seven tips help you bill faster and keep cleaner accounts.
1. Set up your item list once
- Add each product with its selling price, MRP, unit and GST rate.
- Use barcodes for packaged goods, so each item is added with one scan.
- For loose items like rice, dal and sugar, set the unit to kg so you can bill 0.5 kg or 2.25 kg.
A complete item list is the biggest time saver at the counter.
2. Make counter billing fast
- Keep a thermal printer next to the billing screen for quick receipts.
- Search items by name or short code when they have no barcode.
- Display a UPI QR code so customers can pay on the spot.
- Offer to send the bill on WhatsApp. It saves paper, and customers keep a record.
3. Issue the right kind of bill
| Your situation | What to issue |
|---|---|
| Not registered (turnover below the GST limit) | A simple bill, with no GST |
| Registered under the composition scheme | A bill of supply. You cannot charge GST to the customer. |
| Registered as a regular taxpayer | A tax invoice with GST |
For shops selling goods, GST registration is required once turnover crosses ₹40 lakh in most states (₹20 lakh in some). The composition scheme is open to traders with turnover up to ₹1.5 crore (lower in some states): you pay tax at a low rate on turnover but cannot claim input tax credit. Ask your CA which option suits your shop.
If you issue tax invoices, read how to make a GST invoice.
4. Track udhaar properly
Credit sales are normal in a kirana store, but udhaar that is not written down is the most common way shops lose money.
- Record every credit sale against the customer's name, the same day.
- Set a credit limit for each regular customer.
- Send polite payment reminders on WhatsApp instead of asking at the counter.
- Review your khata every week and follow up on old dues.
5. Keep an eye on stock
- Set low-stock alerts for fast-moving items like milk, bread, oil and atta.
- Check expiry dates on packaged food and move older stock to the front.
- Count your top items every month and compare with your records.
- Note which items do not sell, and reorder less of them.
6. Close every day with a cash tally
At closing time, compare these:
| Check | Compare with |
|---|---|
| Cash in the drawer | Opening cash + cash sales − cash expenses |
| UPI and card payments | Your payment app and bank statement |
| Credit sales | New entries in the khata |
A daily tally catches mistakes while you still remember what happened.
7. Keep your records safe
- Use software that backs up your data, so a broken phone or computer does not wipe out your accounts.
- Give each staff member their own login, and limit who can edit or delete bills.
- Keep all purchase bills. You need them for input tax credit and stock records.
